Sponsoring a Soccer Tournament? My 6-Step Print & Packaging Checklist

My first mistake was treating event prep like an online shopping spree. In October 2024, the marketing director asked me to handle our sponsorship logistics for the Capital City Youth Soccer League fall championship—posters, gift packs, business cards, and a kids' craft table. I figured I'd order everything and move on. Two weeks and one very warm panic later, I had a system.

For context: I'm the office administrator for a regional consumer-goods company with about 130 employees. I've managed purchasing since 2021—roughly $45,000 a year in spend across nine vendors. Packaging and printing make up a big part of my workload.

The following is the exact checklist I used. If you're ordering custom packaging and printed material for a sponsorship, product launch, or company event, follow it in order. Budget about two to three weeks from start to finish.

Step 1: Put Berlin Packaging in Your Vendor System First

This step is boring, but it's why we didn't repeat the 2022 debacle. Back then, I ordered from a new supplier because their quote was $200 cheaper than our usual source. They couldn't produce a proper invoice—just a handwritten receipt—and finance rejected the whole expense report. That $200 saving turned into a $1,200 scramble to find a compliant vendor in time.

If you don't already buy from Berlin Packaging, set them up in your accounts payable portal before you need them. You'll want their W-9, certificate of insurance, and the official Berlin Packaging logo if your portal requests a logo file. Ours does. It takes longer than you'd think, and you don't want finance holding a shipment because the vendor profile isn't complete.

Ask for current lead times while you're at it. Custom printed boxes don't ship as fast as plain ones. Our account manager was straight about dates, which made the rest of the timeline realistic.

Step 2: Order Packaging Materials Before You Fine-Tune the Poster

Order packaging before print. Custom packaging has longer lead times, and if something is delayed, you still have time to fix it. Here's what our order looked like for 600 participant gift packs:

  • 700 custom-printed mailer boxes with our logo
  • 6 rolls of 2-inch branded tape
  • 200 square feet of bubble wrap
  • 400 sheets of white tissue paper
  • 60 rolls of decorative washi tape

Washi tape? Stay with me. The event team wanted a make-your-own-journal corner, and a quick search for washi tape journal ideas will show you why. We bought 150 blank journals from a local craft shop and let the kids decorate them. The tape went on the Berlin Packaging order to avoid an extra shipping charge, and it ended up being one of the busiest corners of the tournament.

Before checkout, I searched for a berlin packaging coupon code and found a 10% promotion on their website. That cut our packaging total from about $1,850 to $1,665. Those prices reflect our order in October 2024; verify current rates on berlinpackaging.com before you budget.

Step 3: Use Soccer Poster Ideas That Survive Sunlight

I looked up soccer game poster ideas and found plenty of cute templates with hand-drawn soccer balls and motivational quotes. Half of them would have flopped at our venue because they ignored visibility.

Three details mattered the most:

  • High-contrast text. When the sun moves across the field, low-contrast posters wash out completely.
  • Oversized event details. Date, time, and age group need to be readable from 10 feet away. If you have to squint, it's too small.
  • A scannable QR code. We linked to the tournament schedule and printed it with a quiet white border around it. Parents scanned it constantly, which cut questions at the info tent.

I ordered 14 posters as 18-by-24-inch foam board with matte lamination. Matte prevents glare; glossy board is miserable at an outdoor soccer field. If your supplier offers a print template, use it on the first try. We used the Berlin Packaging site for posters because they handle print and foam board alongside the packaging order, so one shipment was enough to track.

Step 4: Create a Digital Business Card on iPhone Before the Paper Cards Run Out

We printed 300 paper business cards for the tournament. They were gone by the second day, not because we under-ordered, but because paper cards vanish into pockets and get lost before people actually need them.

Here's how to create a digital business card on iPhone using built-in tools:

  1. Open the Contacts app and find your company contact card.
  2. Tap Edit and make sure your work phone, email, and company name are current. Add the company logo if you have one saved.
  3. Tap Share Contact, then choose AirDrop when the other person is nearby.
  4. If both phones run iOS 17 or later, you can also use NameDrop: hold the top of your iPhone near another iPhone and your contact poster appears automatically.

I ordered the paper cards from Berlin Packaging as well—their print side handles business cards, flyers, and posters—so I had only one delivery date to track. Even with extras, the digital card saved us when the box emptied.

Step 5: Do a Fit Test Before the Assembly Line Starts

The most practical advice I can give: test one full package before you set up a packing station. Put a giveaway inside a mailer, add tissue paper, and close it. Does it sit flat? Does the tape actually stick to the cardboard? If not, fix it before volunteers arrive.

In 2023, I skipped this step and ordered boxes half an inch too shallow for a promotional water bottle. The supplier charged us for a rush reorder, and the money we'd saved by picking the lower-priced vendor disappeared. The rework cost more than the difference.

We did the fit test on Tuesday. On Thursday, four volunteers packed 600 gift boxes in about three hours. Assembly line setup: one person per station, with final counts checked against the purchase order.

Step 6: Check the Invoice Against the Purchase Order

After the event, compare the invoice to the purchase order before filing it. It sounds dull, but mistakes happen: duplicate shipping lines, wrong quantities, or a promo code that didn't get applied. The Berlin Packaging invoice listed our PO number on every page, which made the review quick and saved me from a long email chain with accounting.

From my view, invoicing reliability matters as much as unit price. The cheapest quote in 2022 cost us more in the end. Today I look at total cost—price, lead time, invoice accuracy, and the hours my team spends fixing errors.

Notes From the Field

If I ran this event again, I would set up the digital business card a week earlier instead of the night before, and I would have ordered one spare foam board poster. We had one damaged in transport, and the venue wanted an extra for the second entrance.

That's the checklist: vendor setup, packaging order, poster production, printed and digital business cards, fit test, and invoice review. Two to three weeks is enough time. If you're shorter, cut one nice-to-have—and in my experience, it's rarely the packaging.
